ATTENDING THE AWARDS CEREMONY

The Gala Awards Reception & Awards Ceremony will take place from 6:30 PM to 9.30PM on Thursday, May 9th 2024, in Peninsula 1-3 (Main Stage Room), at the Renaissance Orlando at SeaWorld®. It coincides with the Business Transformation & Operational Excellence World Summit, the largest senior-level annual event for Business Transformation, Operational Excellence, Digital Transformation, & Innovation Excellence executives. Click here to view. 

Here are some key aspects you should be aware of:

Attire: Formal Evening Wear is required: Men should wear suits, and women should wear evening dresses.

Dress Rehearsal: Thursday 6:00 PM - Main Stage - Peninsula 1-3. All finalists must be in attendance Should you encounter any issues, you must email the Master of Ceremonies directly at jose.pires@excellenceandinnovation.com or call Jose at +1 913-626-2107.

Poster Presenter: If you have decided to present a poster, please pin your poster presentation(s) to the poster boards at the venue by Wednesday May 8 at 4.00pm. Assign a summit ticket holder this responsibility or, if you are shipping it to the event, ask us at btoes@proqis.com to pin it for you.

Check-In for Awards Reception & Ceremony Only Ticket Holders can arrive and check in after 3 PM on Thursday, May 9th. The Gala Awards Reception & Awards Ceremony starts at 6:30 PM.

WINNER'S ACCEPTANCE SPEECH

This year, winners' acceptance speeches, which should be no longer than 90 seconds in length, are being introduced.

Attendance Requirement: Finalists must attend the Gala Awards Ceremony on Thursday, May 9th, as attendance is required under the entry terms. The BTOES Awards ceremony will be held in person, and there is no virtual option available. Therefore, attendance at the event is mandatory for all finalists.

SUBMIT KEY ATTENDEE INFORMATION

For our planning purposes, please click here to complete the form to list team members that will be attending the BTOES Awards Ceremony, including members of your team who are already registered attendees, speakers, sponsors, or exhibitors. This is important as it ensures all team members are allocated to the same table for the Awards Ceremony. Also, if you are honored with an award, kindly designate a single representative from your organization who will participate in the Awards Winner Panel.

Winners Announced: All winners will be announced at the Awards Ceremony. Under no circumstance will winners be announced or shared, formally or informally, before the event.

5-MINUTE PRESENTATION OPPORTUNITY AT BTOES SUMMIT FOR AWARD FINALISTS

It's a great opportunity to spotlight your achievements and share your insights with industry leaders. If this opportunity excites you, please get in touch soon, as presentation slots are limited.

SUBMITTING A POSTER PRESENTATION (Optional)

Finalists have the option to create a Poster Board (ideally dimensions: 40" x 40" or slightly smaller) in an infographic style to showcase their project or program while adhering to their own confidentiality guidelines. Although this is not mandatory, it significantly enhances visibility within the industry and generates interest in both the participant and their project. 

If you do or don't plan to present a poster(s) at the BTOES Summit, please click here to let us know. 

If you choose to submit a poster presentation, you will need to submit it in an infographic format, size 40 inches x 40 inches ideally or slightly smaller, representing your award entry. These will be displayed to all attendees during the BTOES Summit event. A representative from your organization attending the summit would need to be available to discuss the Poster Presentation at the summit evening Welcome Reception on Wednesday, May 8th, from 5 PM to 6:30 PM, and on both days of the Main Summit, May 9th and May 10th, during the session refreshment breaks.

You will need to print your own posters and bring or ship them to the conference. The posters can be brought rolled up in a cylinder. They do not need to be mounted on a board. Shipping information can be found further down on this page.

You do not need to make a formal presentation or bring any electronic equipment, just print and bring your poster(s) with you or ship it to the hotel, as long as it is pinned to the poster boards on Wednesday, May 8th.

You may retrieve your Poster Presentations after the afternoon break on Friday, May 10th, at 3:30 PM, the final day of the Summit.

Please note, there will be a separate award for "The Best Poster Presentations", which is NOT part of the award ceremony and will be judged by a separate panel of judges. Your poster will be judged alongside all conference posters.

The judging panel on-site will be visiting each Poster Presentation on Thursday, May 9th, and Friday, May 10th. "The Best Poster Presentations" will be announced, and prizes awarded on Friday, May 10th, at 3:05 PM on the Main Stage in Peninsula 5-7. Once again, this has no relationship with your award entry, the award's judging panel, or the awards program. This is a separate judging process, and criteria are purely related to posters.

The judging criteria will be based on:

  • Originality of Project
  • Aesthetics - Visually Appealing
  • Creativity of Poster
  • Value to Reader
  • Clear Problem-Solution-Goal, and Outcome
  • Results

If you prefer not to carry your Poster Presentation on the flight, you can ship it to the hotel.
